You should just list your grades as a pass (this is quite common so I wouldn’t worry about it). You can always explain on a extra information section that your year abroad is not formally grades and only works on a pass/fail basis.

I would call. An email has no guarantee of being replied to. It’s not pushy - I would expect someone to be chasing if this wasn’t confirmed as such a late stage.
Unfortunately there are many different ways this can be done. Depending on the applicant tracking system, you can effectively sort applications by a whole load of different markers and review them in that “order”.
I don’t think it’s generic and sent out to everyone.
